Inviting, editing access, and removing users

Managing people on your property — inviting residents, editing who has access to which doors, revoking access, or deleting someone entirely — all happens on the People tab in DOOR OS. Every flow below requires Key Management permissions on your account. After any access change, doors that are not connected to the internet need a manual Door Sync before the change takes effect on the lock.

This article is for property managers and portfolio managers. Residents do not have access to DOOR OS — if you are a resident and want to invite a guest, see Inviting guests and revoking guest access instead.

About inviting and removing users

An invite creates the person's DOOR account in a pending state and sends them a welcome email with a button to set their password. The account already exists from the moment you invite them — they just set a password and sign in to become active. You can invite someone with a future start date — they still get the email today and can install the DOOR App, but their access won't activate until the start time passes.

Editing access means assigning or revoking Keys — a Key holds one or more doors. Removing a user takes effect immediately (subject to the sync rule below for non-internet doors). You can either revoke (keep the record, remove all access, useful if access may return) or delete (remove the record entirely). A removed person can always be invited again later with a fresh invitation.

Before you start

  • You are logged in to DOOR OS.
  • Your account has Key Management permissions for the property. If it doesn't, contact a Portfolio Manager at your organization and ask them to grant Key Management permissions. See Property Managers: Key and Device Management permissions.
  • You have already created the Keys that grant access to the doors the resident will need. If not, create them first — see Creating Keys.

How do I invite a new user?

  1. In DOOR OS, select the correct property.
  2. Open the People tab.
  3. Click Invite.
  4. Choose whether the person will get the DOOR App (smartphone-based access) or a daily doorcode (numeric code only).
  5. Enter the person's contact details.
  6. Add the Keys they need. Each Key holds one or more doors.
  7. Mark whether this person is a Resident, and whether they are allowed to share the Key with guests. See Restricting Key sharing and disabling doorcodes to control what they can share.
  8. Set a start time. If you pick a future date, the person still receives the welcome email today and can install the DOOR App; their access just won't activate until the start time passes.
  9. Set an expiration date. DOOR recommends this on every invite so access ends automatically when the lease ends.
  10. Submit. The person receives a welcome email with a button to set their password. The invite already created their account — they just set a password and sign in to become active.
  11. On the start date, verify any Door Sync tasks in DOOR OS. Doors that are not internet-connected need a sync before the new access reaches them. A sync happens automatically the first time the resident performs a DOOR App unlock within Bluetooth range; you or the resident can also trigger it manually — see How to perform a Door Sync.

Once the doors are synced, the person can unlock using the DOOR App, their doorcode, or a keycard (keycards are activated separately — see Latch Keycards).

If the welcome email never arrives, the person can still set their password: in the DOOR App, tap Forgot password and enter the exact email address you invited. Because the invite already created their account, the password reset email works the same as the original welcome email — it simply sets their password so they can sign in.

How do I edit an existing user's access?

  1. In DOOR OS, open the People tab.
  2. Select the person.
  3. Add or remove Keys, change the expiration date, or delete Keys as needed.
  4. Sync the affected doors. A Door Sync is required on any non-internet-connected door for the change to take effect.

Changes become active at the device only after the sync completes.

How do I revoke a user's access without deleting them?

Revoking keeps the person's record in DOOR OS (useful if access may return later) but removes all their current access.

  1. Open the People tab.
  2. Select the person.
  3. Open the Keys tab under their name.
  4. Click Revoke All Keys at the bottom.
  5. Confirm. This also revokes access for any guests that person invited.
  6. Sync the affected doors. Until the non-internet-connected doors are synced, the person's old credentials may still work at those locks.

Revoked users remain visible on the People tab as long as Show Expired Users is enabled. You can re-grant access to the same record later.

How do I delete a user completely?

Deleting removes the person's record from the People tab. Use this when they will not return.

  1. Open the People tab.
  2. Select the person.
  3. Click Delete Person and confirm. This also removes access for any guests they invited.
  4. Sync the affected doors. Until the non-internet-connected doors are synced, the deleted user's credentials may still work at those locks.

After deletion, the person no longer appears on the People tab. Their past activity stays available under the Activity tab. To restore access later, send a new invitation.

Why a Door Sync is required after any change

Doors connected to the internet receive access changes within a few minutes through the cloud. Doors that are not internet-connected only know about a change after a Door Sync, which pushes the latest credentials to the lock over Bluetooth. Until that sync happens, the lock is still running the previous set of credentials. See How to perform a Door Sync.

If it didn't work

Email support@door.com if:

  • You cannot see the Invite button on the People tab even after your Portfolio Manager grants Key Management permissions.
  • A user is invited and synced, but their credentials do not open the door after multiple manual Door Syncs.
  • A revoked or deleted user is still able to unlock doors days after the syncs are confirmed.
  • A CSV bulk invite fails — see Inviting or editing people via CSV file first, then escalate if blocked.
