Automated Access — configuration and activation

Automated Access automatically assigns and revokes resident access in DOOR OS based on lease status changes in your property management system (PMS). When a resident's lease goes current in the PMS, their DOOR access is provisioned. When it goes past, their access is revoked — no manual steps required.

About this feature

Automated Access eliminates the need to manually invite residents and assign keys each time a lease status changes. Instead, access follows the lease lifecycle in your PMS.

When access is provisioned: when a resident's lease status becomes "current" in the PMS, DOOR detects the change and assigns access with a start time 15 minutes after the status change.

When access is revoked: when a resident's lease status becomes "past" in the PMS, DOOR revokes all access within minutes.

Operation modes:

Approval Required (default) All access suggestions must be reviewed and approved by a property manager in DOOR OS before taking effect
Automatic Access changes are applied immediately without review

 

We recommend starting with Approval Required mode and switching to Automatic only after confirming the integration is working correctly for your property.

Property managers can also manually override any resident's status or access from within DOOR OS at any time, regardless of their PMS status. Manual status changes in DOOR OS have the following effects:

Current Resident → Past Resident All keys (manually and automatically assigned) are revoked
Current Resident → Future Resident All keys (manually and automatically assigned) are revoked

 

Setting up Automated Access

Step 1: Verify User Sync is enabled

Automated Access requires User Sync to be active on your property. Confirm this is set up before proceeding. Contact integrations@door.com if you're unsure.

Step 2: Create common area keys (optional but recommended)

Set up two sets of Keys that will be automatically shared with all current residents:

  • Resident Entrances — all doors residents need to reach their front door (entrance, elevators, emergency exits, stairs).
  • Resident Amenities — all doors leading to amenities (gym, rooftop, lounge).

These can be configured as shareable or non-shareable keys depending on your preference.

Step 3: Request integration activation

  1. Log in to DOOR OS.
  2. Go to Manage SettingsIntegrations.
  3. Follow the remaining setup steps shown in the integration section.
  4. If you need help mapping PMS units to DOOR units, or encounter any issues, contact integrations@door.com. Include the property name, the PMS system name, and ensure a Portfolio Manager is copied on the email.

DOOR will assist with finalizing and enabling the integration.

Post-activation steps

After the integration is enabled, verify it's working correctly:

  1. Log in to DOOR OS.
  2. Go to the People tab.
  3. Check the last sync date to confirm the integration is syncing with your PMS.
  4. Look for the alert icon (exclamation mark) in the upper right corner of DOOR OS. If present, there are pending access suggestions to review.
  5. Select the alert icon to open the Alert window.
  6. Review the access suggestions.

Reviewing and approving access suggestions

When a PMS lease status is updated, the integration creates access suggestions in DOOR OS. Each suggestion is color-coded:

  • Green — suggests granting a Key
  • Red — suggests revoking a Key
  • Grey — no change suggested

To approve suggestions: select one or more access suggestions (up to 50 at a time) and select Update Access.

To discard a suggestion: hover over the suggestion and select the X button. This removes it from the pending list.

If any suggestions appear incorrect, do not approve them. Contact support@door.com for help making corrections before approving.

Changing the operation mode

  1. Log in to DOOR OS.
  2. Go to Manage SettingsIntegrationsManage Settings.
  3. Select the Automate Access tab.
  4. Choose your preferred operation mode from the dropdown.
  5. Select Save.
