When you assign a Key to a user in DOOR OS, you also assign that user a status for that Key (resident or non-resident). The status controls whose activity is visible in History at private/residence doors. Setting the status correctly is required by DOOR's Terms of Service and Privacy Policy and protects residents' privacy at their own unit.
This article is a reference for the available statuses, what each one means for access logs, and when to use each.
Resident status — what each value means
| Status | Visible in History at residence doors | Visible in History at communal doors | Use when |
|---|---|---|---|
| Resident | No (private) | Yes | The user lives at the unit listed on the Key |
| Non-resident | Yes | Yes | The user is a guest, staff member, vendor, or anyone who is not a resident of the unit |
Property managers' activity is always visible at residence doors, regardless of status setting. This is so the property team has accountability into their own actions on private doors.
Why the status matters
- Privacy at residence doors. When the user is set to Resident for a Key, their entries on private doors in that Key are not shown in History. This protects the resident's pattern of comings and goings from being visible to property staff who don't need it.
- Visibility at communal doors. Communal doors default to logging every entry visibly. Status doesn't affect logs at gyms, lobbies, or other shared spaces.
- Compliance. DOOR's Terms of Service and Privacy Policy require that residents be marked as residents for their private doors. Mislabeling a resident as a non-resident exposes their private-door activity.
When to set each status
- Resident — anyone who lives at the unit attached to the Key. Should be the default for residential doors at unit-specific Keys.
-
Non-resident — for everyone else who needs the same Key for legitimate reasons:
- Guests with extended access (housekeeper, family member visiting long-term).
- Staff or contractors who need to enter the unit (cleaners, maintenance).
- Property managers themselves when they hold a Key for operational reasons (note: their activity at residence doors is visible regardless of status).
How to change a user's resident status
- In DOOR OS, navigate to the People tab.
- Open the user's profile.
- Select the Key whose status you want to edit.
- Update the status to resident or non-resident as appropriate.
- Save.
The change applies immediately. History views going forward will follow the new status.
How to review existing assignments
To audit who's currently set to which status across the property, export the Assigned Access report:
- In DOOR OS, navigate to the Reports section.
- Select Assigned Access.
- Export the report and review the resident status column.
Use this to find residents accidentally marked as non-resident (privacy risk) or non-residents marked as resident (visibility gap).
