Adding, Editing, or Deleting Property and Portfolio Managers

DOOR OS has two manager roles: Portfolio Managers and Property Managers. This article covers how to add new managers, edit their permissions, and remove them from your portfolio.

Only Portfolio Managers can add, edit, or delete other managers.

About this feature

  • Portfolio Managers have full access to all properties in the portfolio. They can manage all settings, staff, and residents across every property they oversee.
  • Property Managers have limited access scoped to specific properties, with permissions set by the Portfolio Manager.

Creating a manager account does not grant access to any doors. To give a manager the ability to physically open doors, assign keys to their account from the People section.

Adding a manager

  1. Log in to DOOR OS.
  2. Go to Manage SettingsStaff.
  3. Select either the Portfolio Managers or Property Managers tab depending on the role you want to create.
  4. Select Create New.
  5. Enter the person's First Name, Last Name, and Email Address.
  6. Select Create.

The new manager receives an invitation email with instructions to set up their account.

Editing a manager's permissions

  1. Log in to DOOR OS.
  2. Go to Manage SettingsStaff.
  3. Select the Property Managers tab.
  4. Choose the property manager you want to edit.
  5. Select Edit.
  6. To add a property to their account, select Add Property.
  7. To adjust their permissions within a property, select that property and toggle Device Management or Key Management permissions as needed.

Deleting a manager

  1. Go to Manage SettingsStaff.
  2. Select the Portfolio Managers or Property Managers tab.
  3. Choose the manager you want to delete.
  4. Scroll to the bottom and select Delete.

Notes:

  • You must be a Portfolio Manager to delete other managers.
  • Portfolio Managers can delete themselves as long as they are not the last Portfolio Manager in the portfolio. The last Portfolio Manager cannot be deleted — this ensures the property always has at least one point of contact.

Changing a manager's name or email

Portfolio Manager contact information (first name, last name, email address) cannot be edited directly in DOOR OS. If you need to update the email, you'll need to create a new manager and enter the new email.

Note: deleting a manager and recreating them with the same email address will not clear their old name — the previous contact information persists.

Troubleshooting

  • Create New button is not visible: you may be logged in as a Property Manager rather than a Portfolio Manager. Only Portfolio Managers can add staff.
  • Manager is not receiving the invitation email: check that the email address is correct, then ask them to check their spam folder. You can delete and recreate the contact if needed.
  • Need to update a manager's name or email: contact DOOR Customer Support directly.
