How do I configure Key settings and schedules?

A Key in DOOR OS bundles several doors and is what residents and staff are assigned to gain access. Each Key has settings that apply to every keyholder at once — schedules (when each door in the Key can be opened), sharing rules, and per-door doorcode availability. This article covers configuring Key schedules: setting hours and days when each door in a Key is available.

About this feature

A Key schedule restricts the hours and days when keyholders can use that Key. Schedules are set per door within the Key, so the same Key can have an "always open" residential door and a "6 AM – 11 PM" gym door.

Key schedules are different from Door schedules:

  • Key schedule — controls when keyholders on this Key can unlock the door.
  • Door schedule — unlocks the door for everyone during a set window; no credentials needed. See Configuring door schedules.

When a door schedule is active, the door is already open and key schedules have no effect. Key schedules apply only when the door is locked.

Before you start

  • You're signed in to DOOR OS.
  • You have Full Key Management permissions for the property. Limited and Specific permissions cannot edit schedules. See Key and device management permissions by role.
  • You know which Key holds the doors you want to schedule and the time windows you intend to apply.

Steps — Add a schedule when creating a new Key

  1. In DOOR OS, navigate to Access → Keys.
  2. Click Make a Key (or your property's equivalent button to create a Key).
  3. Add the doors that should be on this Key.
  4. For each door, select the days and hours the door should be accessible using this Key.
  5. Save the Key. Assign it to residents or staff.

Steps — Edit an existing Key schedule

  1. Sign in to DOOR OS.
  2. Go to the Access tab and select Keys.
  3. Select the Key you want to update.
  4. Open the Doors tab and click Edit.
  5. Update the schedule for the relevant doors and save.

After saving — sync non-internet-connected doors

Doors that are not internet-connected (typical for unit doors and some amenity doors) need a Door Sync to receive the schedule update. While in Bluetooth range of each affected lock:

  1. Open the DOOR App.
  2. Tap the door, then Sync.

Doors that are internet-connected (most communal doors) update automatically within a few minutes.

If it didn't work

  • The Edit button is greyed out — your account doesn't have Full Key Management for this property. A Portfolio Manager has to grant the permission.
  • A keyholder reports access during what should be off-hours — confirm the change saved by reopening the Key. If saved, the lock probably hasn't received the sync yet — perform a Door Sync.
  • A keyholder reports "Out of Schedule" inside the window — the lock's clock may have drifted. Run a Door Sync; that resets the clock. See I'm getting an 'Out of Schedule' error in the DOOR App.
