What are Units, Doors, and Keys?

If you manage a Door enabled property, you'll want to understand and set up a few key concepts to activate hardware and assign access.

Doors 

Doors are the digital representation of Latch locks and creating doors is a necessary step before (or during) the installation of Latch hardware. 

Door Types

There are various types of doors, and it's crucial to label them correctly to ensure the appropriate level of privacy for individuals in a building. Once a device is linked to a door, the type of door cannot be changed.

  • Building Entrance: Typically used for entryways, vestibules, and other passages from the exterior to the interior of a building.
  • Residence: Designated for doors leading directly to someone's private space, like an apartment or home. Access logs for private doors assigned to users marked as "Resident" will remain private.
  • Service: Intended for doors leading to maintenance areas or places restricted to residents, such as elevator rooms and storage closets.
  • Communal: Used for doors leading to shared or community spaces accessible to most residents, like gyms and lounges.

Units

Units enable users to be listed in the intercom directory and are useful for linking smart devices to particular apartments. Ideally, your unit list should align with your apartment door list, which can be imported via CSV. Users can be linked to a unit on their profile page, which will then display them in the intercom directory under that specific unit. It's important to note that associating units with doors does not automatically grant access to the door; access permissions are managed by adding keys to a user's account.

Keys

Keys are similar to folders containing one or more doors. Granting a user access to a key automatically gives them access to all the doors within that key. Any settings applied to a key will affect all users assigned to that key. For instance, a key named 'Resident Key' could provide access to building entrances and amenities for new residents. This key might have schedules restricting access to certain amenities during specific hours.

 

Creating Units

Units are digital representations of residential units. They are necessary in order to add residents to an intercom directory as well as for smart home installations.

To add a unit, go to the Access section, select 'Units', and click on 'Add Unit' and add all of the units you'll need for your residential doors. You can also upload units via CSV upload.

 

 

Creating Doors

 

To activate a Latch device on a physical door, you need to start by creating a digital representation of the door. Go to Access, then select 'Doors', and click on 'Add Door'.

Next, you will need to name the door. This name will be displayed in the Door App, so be sure to give your door a clear label (e.g., Pool, Gym, Front Entrance, 202, Unit 202, Garage).

Once you have named the door, choose the appropriate door type. Selecting the correct door type is crucial to ensure that each resident's privacy at residential doors is maintained. Choose from the following options:

 

  • Building Entrance: Typically used for entryways, vestibules, and other passages from the exterior to the interior of a building.
  • Residence: Designated for doors leading directly to someone's private space, like an apartment or home. Access logs for private doors assigned to users marked as "Resident" will remain private.
  • Service: Intended for doors leading to maintenance areas or places restricted to residents, such as elevator rooms and storage closets.
  • Communal: Used for doors leading to shared or community spaces accessible to most residents, like gyms and lounges.

Once you've created your door(s) you can activate Latch devices to them during the installation process (until then, the door will remain 'uninstalled'). Once installation is complete, any people you have added to the door (by granting them a key that holds the door) in advance will now have access. 

Door Schedules

What is a Door Schedule?

Door schedules offer Portfolio and Property Managers (with Full Key management permissions) the ability to schedule devices to be unlocked on a regular schedule. This feature is different from Key Schedules because with a Door Schedule, the Latch device will remain unlocked during the allotted days/times, meaning no Door credential is required to unlock the door. For this reason, it's typically used for commercial spaces or leasing offices where walk-ins are encouraged.

Additionally, Managers can program their Schedule with specific exception schedules during the year to account for holidays. Optionally, Managers can implement First Unlock to ensure that a door does not switch to unlocked without a user unlocking it first, and/or Early Closure, which allows all users with access to the Door to lock it early.

Are my Latch R devices compatible with Door Schedules?

To set up Door Schedules, you will need at least one R2 device in your building on Firmware Version 4.0.1 or later and you will only be able to apply the door schedule to those devices. 

To Set Up a Door Schedule:

  1. Navigate to 'Settings' on the Door Webpage and select 'Schedules' from the drop-down menu.
  2. Select 'Create Schedule.'
  3. Name your Schedule (you can apply the same schedule to as many doors as you'd like, so we recommend naming it for that group of doors, such as "Entrances," "Amenities," or "Offices.")
  4. Optionally choose to enable 'First Unlock' or 'Early Closure' or both.
    • 'First Unlock' means that your schedule will not unlock your Door until someone with access unlocks it. Once they unlock, the door schedule will keep the Door unlocked until the schedule interval ends.
    • 'Early Closure' means that all users that have access to the Door can end the schedule early, and lock the Door prior to the end of a schedule interval. This is great if you want your team to be able to lock the office early.
  5. Select 'Continue.'
  6. Set your 'Primary Schedule' and any 'Exception Schedules.'
    • The 'Primary Schedule' applies each week on a rotating basis. You can choose to not set a schedule for a particular day in which case the Door will remain locked during that entire time. If you enable a schedule for a day, you can create up to 8 schedule intervals. During these intervals, the Door will remain unlocked. You must ensure that your schedules do not overlap.
    • The 'Exception Schedule' applies to a specific day of the year and overwrites the entire daily schedule for that day. You can only have one exception per day, and you can only create exception schedules for days up to one year out. At this time, exception schedules do not roll over year after year, so you will need to update them.
  7. Select 'Continue.'
  8. Select the Doors to add to your Schedule.
    • You can add as many Doors as you'd like, however, a Door can only have one Schedule on it. You can also change the Door Schedule by navigating to the Door page and choosing the Schedule there.
  9. Select 'Complete.'
  10. Once the Door has been updated, the Schedule will be applied.

Updating the Door after creating a Door Schedule

If the Door is connected to the internet via WiFi, Ethernet, Hub, or Intercom, the Door will automatically update. Note that doors can take up to 30 minutes to update based on traffic.

Please remember that to apply these changes, you must update all affected doors that are not connected to the internet. To update a door, simply select the door name while being within Bluetooth range of the Latch device, and then choose the "Update" option.

Creating Keys

 

If you manage a Door enabled property, you can create and assign keys to grant access to doors. A key holds a door or group of doors and can be assigned to one or more people, giving them access to all the doors in that key. Property management can also apply certain settings to keys, such as Key Schedules. When you edit a key, the changes will apply to everyone with that Key. To create a key:

  1. Select 'Access' and 'Keys'
  2. Choose 'Actions' on the right side of the Keys page
  3. Choose 'Make Key' 
  4. Add a name to your key. Note that the name will not be revealed in the Door App, so we recommend including enough detail to help your team distinguish it from other keys. For example, you may label it 'Resident' or 'Resident Amenities.'
  5. Choose the doors you'd like to add to the key and any settings you'd like to apply to those doors. Note these settings will impact all users you assign this key.
      • Enable Doorcodes: For example, whether you'd like to enable doorcodes for each door you add. Enabling doorcodes will provide the users who have access to this key with a unique doorcode to open this door.
      • Key Schedules: You may also put a Key Schedule in place, which will determine the hours when users assigned this key may perform an unlock at that door. For example, if you add a schedule to the 'Pool Door' for Monday-Friday 9 AM to 5 PM, users assigned this key will only be able to use their Door App to open the 'Pool Door' during those times.
  6. Choose 'Select Doors' and 'Create Key' on the next screen. 

Restricting Key Sharing and Disabling Doorcodes

Property managers can add settings to disable doorcodes and access sharing to restrict guests from entering certain amenity spaces. Spaces where doorcodes and access sharing are disabled will still allow residents to use their Door App or keycard to unlock these spaces, but will prevent them from inviting guests or receiving a doorcode for doors with this setting. We do not recommend restricting these features for residence doors.

Turn off "May Share Key"

When inviting a resident, you can disable the “May Share Key” feature for certain amenity spaces. 

To disable this feature, navigate to the resident’s detail page.

  1. Select “Keys”
  2. Select the Key that you would like to turn off access sharing for
  3. Turn off “May Share Key” 
  4. Save your changes

Once changes are saved, residents will no longer be able to share access with guests for designated doors. 

How to disable doorcodes

Property managers can disable doorcodes to prevent residents from sharing their personal doorcodes with guests to access certain amenity spaces. 

When disabling this feature, this will deactivate doorcode access for any selected doors in a Key and affect all keyholders. It’s important to ensure that doors are not selected that residents should have doorcode access to such as the building entrance or their individual unit as their doorcode serves as a backup entry option that doesn't require their phone. 

To disable this feature: 

  1. When creating a new Key, ensure that “Provide Doorcodes” is turned off for any doors that should not have a doorcode provided to key holders. 
  2. For existing Keys, simply navigate to the desired Key, go to the doors section, and tap “Edit” to make changes to each door as desired before saving the changes. Note that you can 'bulk' disable doorcodes by selecting 'Disable All Doorcodes' on the top right-hand side.
